This Privacy Policy explains how Trend Timbers (Rb & AJ Clark Pty Ltd, ABN 69 124 544 412, trading as Trend Timbers) collects, uses, stores and discloses your personal information when you use trendtimbers.com.au or visit our showroom at 15 Railway Rd North, Mulgrave NSW 2756. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. What we collect

• Contact details — name, email, phone, delivery and billing addresses
• Account details — username, password (stored as a salted hash), order history
• Payment details — card or bank information is entered directly into our payment processor’s secure form; we do not store full card numbers on our servers
• Communications — messages you send by email, the contact form, SMS or social media
• Website activity — IP address, browser type, pages visited, referral source, device identifiers (via cookies and analytics tools)

We do not knowingly collect personal information from anyone under 16. If you believe we hold such information, please contact us to have it removed.

2. How we collect it

• Directly from you — when you register, place an order, request a quote, subscribe to our newsletter or contact us
• Automatically — via cookies and analytics when you browse the site
• From third parties — payment processors, freight carriers and social platforms, only as needed to complete your order

3. How we use it

• To process orders, take payment, arrange milling and dispatch, and deliver goods
• To respond to enquiries, quotes and returns
• To send order updates, delivery notifications and (with your consent) marketing
• To improve the site, troubleshoot issues and prevent fraud
• To comply with tax, accounting and other legal obligations

4. Who we share it with

We share personal information only as necessary:

• Payment processors — Stripe, PayPal or our bank, to take payment
• Freight and courier providers — Australia Post, TNT and local couriers, to deliver orders
• Service providers — our website host, Mailchimp (email), ClickSend (SMS), Google Analytics 4, and advertising pixels (Google Ads, Meta) — each bound by confidentiality
• Government agencies — where required by law (ATO, courts, regulators)

We do not sell your personal information.

5. Overseas transfers

Some of our service providers (e.g. Google, Meta, Mailchimp) may store data outside Australia, including in the United States and the EU. We take reasonable steps to ensure they handle your information in line with the APPs.

6. Cookies and tracking

• Essential — cart, checkout and account login (cannot be disabled)
• Analytics — Google Analytics 4, to measure site performance
• Advertising — Google Ads and Meta pixels, to measure ad effectiveness and show relevant ads

You can disable cookies in your browser settings. Some site features may not work without them.

7. Marketing

With your consent, we may send you promotional emails or SMS about new stock, sales and workshops. You can unsubscribe at any time via the link in the email or by replying STOP to an SMS.

8. Security

We store personal information on secure servers, encrypt data in transit using HTTPS/TLS, and restrict access to staff who need it. No system is perfectly secure — if we become aware of a data breach likely to cause serious harm, we will notify affected users and the OAIC as required under the Notifiable Data Breaches scheme.

9. Retention

We keep personal information only as long as needed for the purpose it was collected, or as required by law (for example, tax records for 7 years). Old account and order data is deleted or anonymised once no longer needed.

10. Your rights

Under the APPs you can:

• Access the personal information we hold about you
• Correct anything that is wrong or out of date
• Withdraw consent for marketing at any time
• Request deletion of your account (subject to legal record-keeping obligations)
• Complain about how we handle your information

11. Complaints

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.

12. Changes to this policy
